Export control & operational safety
Where one translation holds up a whole programme
Technical documentation in the defence industry decides readiness and compliance with national export rules. Whether it is a logistics manual, an operating manual for a C2 system or a maintenance protocol for an armoured vehicle: if a warning reads ambiguously in the target language, the operator carries the risk.
The administrative side weighs just as heavily. End-user certificates and applications to the German export control office (BAFA) leave no room for loose wording. One imprecise specification in a licence application can hold up a shipment for weeks.
That is why native-speaking specialists handle these texts, people who know the terminology of the service branches and the NATO standardisation agreements (STANAG). The four-eyes principle certified to ISO 17100 makes sure a formulation also survives a second reading.

From the NDA to the finished manual
- Settle the classification, sign the NDA
First we check together whether any papers carry an official classification. Then we sign the NDA, before the first specification changes hands.
- Analyse data structure and terminology
We look at your formats, XML, DITA or JSON, and load existing NATO glossaries and in-house word lists into our systems.
- Choose the workflow
Warnings and operating instructions are translated by people, to ISO 17100. For large tender packages we set up a sealed-off post-editing line to ISO 18587 to hold the deadline.
- Translation with code protection
Text segments are extracted, XML tags and software variables locked against editing. Structural errors in the code never arise in the first place.
- Specialist review under the four-eyes principle
A second specialist checks technical plausibility, terminology and whether every instruction can be followed without hesitation.
- Return through encrypted channels
You get the finished formats back. For layout documents such as InDesign we take on the foreign-language DTP where you want it.

Planning around tender deadlines
In international tenders the submission date decides everything. Anyone who files late is out of the process, however good the bid was.
Our standard lead time is 3 to 6 working days. For critical phases, such as changes to an offset bid or urgent customs papers, there is express delivery within 24 hours. On very large volumes several teams work in parallel on coordinated packages.
Technical documentation repeats itself heavily. With sealed-off translation memory systems you pay for the same sentence once. On large manual families that brings the cost down noticeably and keeps the terminology stable for years.

Key concepts for technical documentation
- STANAG (Standardization Agreement)
- An agreement among NATO member states standardising procedures, equipment and terminology, such as the AAP-06 NATO Glossary. For military specialist translators it is the binding reference work.
- BAFA (German export control office)
- The German federal office responsible for controlling exports of defence goods. The papers needed for approval, end-user certificates among them, are often submitted as a certified translation.
- Translation memory (TM)
- A database of all previous translations for a client. On a new manual the system recognises identical sentences, standard safety warnings for instance, keeps the terminology consistent and brings the cost down.
- Secure MTPE (machine translation post-editing)
- A hybrid process to ISO 18587: a closed AI instance with no connection to public services pre-translates, and a specialist revises. Worth considering on several thousand pages of tender documentation under time pressure.
- Offset agreement
- A contract under which the procuring country requires part of the order value to flow back into its domestic industry. Deadlines for localisation are usually tight.
