Writing French emails and letters: greetings, phrases and sign-offs
The key phrases for business correspondence in French, each with English and German translations. Sorted by occasion for quick reference, with templates and the mistakes non-native writers make most often.
In short
- Formal greeting without the surname: “Madame,” or “Monsieur,”. If you don’t know the name: “Madame, Monsieur,”. In emails, “Bonjour Madame Martin,” is common.
- Emails end with “Cordialement,”. Formal letters close with a full sentence that repeats the greeting.
- In business, people address each other as “vous”, even after years of working together, until the other person offers “tu”.
- In French, a space goes before a colon, a question mark and an exclamation mark.
- French business letters are more formal than English or German ones, but emails have settled on a shorter style.
Greetings: “Dear Sir or Madam” in French
“Dear Sir or Madam” in French is “Madame, Monsieur,”. Even if you know the name, write only “Madame,” or “Monsieur,” in a formal letter, without the surname. In business emails, “Bonjour Madame Martin,” is now common.
| Situation | Greeting | Note |
|---|---|---|
| Name not known | Madame, Monsieur, | Standard in letters and formal emails |
| To a company or several people | Mesdames, Messieurs, | Formal |
| Name known, in a letter | Madame, / Monsieur, | Without the surname, even if you know it |
| Name known, in an email | Bonjour Madame Martin, / Bonjour Monsieur Dupont, | Now common in business emails |
| Position known | Madame la Directrice, / Monsieur le Directeur, | Formal, to senior managers |
| Lawyer or notary | Maître, | The set form of address for lawyers and notaries |
| Contact you know personally | Chère Madame, / Cher Monsieur, | Only if you know each other personally |
| Colleagues on first-name terms | Bonjour Claire, | Informal, if the contact writes to you that way |
A comma follows the greeting, and the first sentence starts with a capital letter. In business, people address each other as “vous”, even after years of working together. Only switch to “tu” if the other person suggests it.
Sign-offs: “Kind regards” and “Yours faithfully” in French
In business emails, write “Cordialement,”, or “Bien cordialement,” with contacts you are already in touch with. Formal letters end with a full sentence, such as “Veuillez agréer, Madame, Monsieur, l’expression de mes salutations distinguées.” This repeats the greeting from the top of the letter.

FAQ
How do you write “Dear Sir or Madam” in French?
“Madame, Monsieur,”. If you are writing to a company or to several people, “Mesdames, Messieurs,” is also common.
How do you say “Kind regards” in French?
In emails, “Cordialement,”. Formal letters end with a full sentence, such as “Veuillez agréer, Madame, Monsieur, l’expression de mes salutations distinguées.” It repeats the greeting from the top of the letter.
Do you write “Monsieur” with the surname?
Not in a formal letter, where you write only “Monsieur,” or “Madame,”. In emails, “Bonjour Monsieur Dupont,” is now common.
Do you use “vous” in French business emails?
Yes. Vouvoiement, addressing someone as “vous”, is standard in business. Only switch to “tu” if the other person suggests it.
Are there differences between France, Belgium, Switzerland and Canada?
Yes. In Belgium and Switzerland, people say “septante” and “nonante” instead of “soixante-dix” and “quatre-vingt-dix”, and in parts of Switzerland also “huitante”. “Meilleures salutations” is common in Switzerland, and in Quebec people write “courriel” rather than “e-mail”.
